Flamenco Classes
The cancellation policy for Flamenco Classes is detailed at the bottom of this page on our website.
All Other Classes
Email dance@sugarswing.com if you need to cancel your registration. As time is of the essence, do so immediately when ready.
- If purchased within 3 days and classes have not started full refund will be provided.
- If beyond 3 days or if class has already started, a refund is no longer possible. However, we will happily credit you towards future classes or other services provided by Sugar Swing Ballroom
- The amount of credit provided deducts the classes that have already occurred, up to the date we receive your cancellation message, by the drop-in rate for each class.
For example, if 3 weeks of classes have already occurred by the time you message us, the amount of credit would be reduced by an amount equal to three (3) drop-in classes. - Flamenco classes are excluded from this Cancellation Policy, as it has its own conditions.
- Processing time to resolve a cancellation typically takes 1-2 weeks.
- Credit for cannot be applied for events, services, and merchandise provided by our sister organization, Sugar Swing Community of Jazz. That excludes anything related to Lindy Harvest, Stardust, and venue rentals
- Credit cannot be applied for Flamenco classes
Claiming & Using Credit
- We may carry your registration forward to a future series or semester.
- If the enrolment is similar (same class, similar number class hours), yes, we can simply apply your credit against a future class. There might be a small difference to settle due to classes taken or price changes; or, in some cases, leftover credit.
- Credit may also be applied to other programs (Swing, Jazz, Tap, House, etc).
- Credit may be converted to either a physical or eGift Card, and then subsequently:
- Sold or given to another person
- Used for admission for dance socials
- Use for other Sugar Swing Ballroom products & services, such as at our bar or merchandise
Cancelled Lessons
- If a lesson or series is cancelled and not rescheduled due to a controllable circumstance, a full refund or credit may be provided. This includes reasons such as low enrolment, dwindled attendance, double bookings, a studio decision, or instructor preference not to reschedule.
- Uncontrollable circumstances: If a lesson is cancelled due to weather, major facility issues, health orders, ill or injured instructors, or other uncontrollable events (force majeure), the series/semester will normally be rescheduled.
- Typically the series will be rescheduled by a week later in lieu. Alternatively, we may lengthen each lesson by 10-15 minutes.
- If we are unable to extend the series due to further uncontrollable events, such as a pandemic, only credit may be issued. Likewise, if you are unable to attend the final lesson, we may only provide credit.
- Refunds may only be considered in such cases where the lesson is not rescheduled AND Sugar Swing confirms it has the means to do so.
Questions & Answers
I only attended 2 classes and had to miss another class. Will 2 or 3 classes be deducted?
As notification timeline is critical, all three (3) classes at the drop-in rate would be deducted from credit.
I started classes 4 weeks ago, but only was able to attend 2 classes. How much credit would I receive?
From credit, we deduct the number of classes that have already occurred, not the classes that were taken. Communication timeline is key. In this example, all four (4) classes at the drop-in rate for those classes would be deducted.
I want a refund, as I cannot take the class now
Other than the stated 3-day rule, we unfortunately cannot provide refunds. Please note, it’s part of the terms of service agreement made when enrolling for a class. Payment for a class reserves your placement in that class. A few of our reasons; for large classes, it ensures you have a spot; for small niche classes, it ensures our instructors & staff get paid, and that the class goes ahead for other people. In sum, to remain sustainable as a business, we maneuver our staff, instructors, marketing, and efforts in response to registrations & payments. However, there are many ways to use credit.
I have a minor injury or feel ill, and need to miss a week or two. What happens now?
If you are confident you will recover in a short amount of time (after a few days or a week), you can rejoin the class.
If taking Tap, Jazz, House, Blues, Swing 3, or otherwise:
- These are niche, specialized classes so unfortunately we would not have a make-up class option . You would just have to miss those specific classes, no credit can be provided.
- However, if you are at a higher level (for programs that offer multiple levels), when you return, you could drop into the lower-levelled class as make-up option, at no additional cost and assuming there’s room.
If you’re only missing 1-2 lessons in a term, it’s typically cheaper and better to remain enrolled. The alternative is converting to credit, then dropping in and redeeming that credit. Drop-in fees are more expensive, and it also have the disadvantage of not receiving direct notices if classes get postponed, cancelled, or changed.
If taking Swing 1 or 2, you can typically do a make-up class:
- Look at our class schedules of other days offering that course. Though every class is progressive, you can sometimes make-up the week you missed. For example, if you are missing your Wednesday class, week #3, you might be able to catch the week #3 on Sunday or Monday.
- Further to that example, if you can’t catch week #3 on other days, you will just have to miss that week of content. However, you can alternatively double-up on week #4 the next week. Between the reviews, you should be fine!
- Disclaimer: Although our instructors follow the same curriculum, they may teach material in a different order.
- If you miss class #1, another make-up option is to do the drop-in lesson at our social dance. Otherwise, not to worry, join us for the class #2. We do a review at the start of each lesson
I have a moderate injury or illness, and will likely miss 3+ weeks
If you’re unsure of the severity of your injury/illness, please message us right away if you might be missing 2 or more weeks. Although we don’t allow refunds beyond a few days, we could provide you with an amount of credit, minus the drop-in fees for each class that have already occurred. This credit, in turn, can be used for “dropping in” to future classes when you’ve recovered. We would only recommend this conversion to credit if you’re missing 3+ classes, as missing 1-2 classes is still better to remain enrolled.
I have a more serious injury or illness, and need to withdraw
We assume you cannot take the remainder of classes this term, and are sorry to hear! We are always sad to lose a student due to illness or injury. Please message us right away. Assuming you missed the refund window, we can at least credit you towards future classes, minus the classes that have occurred.
As a gesture of goodwill, we are willing to forgive one of the classes that have occurred. For example, if three classes have already passed, we would only deduct your credit by the equivalence of 2 drop-in classes.
I missed classes #3 and #4 this term. Can I come back next term to do those particular lessons?
I missed a couple lessons this term in my series. No make-up class is offered. Can I make-up those lessons next term?
Unfortunately, missed classes cannot be carried over to next term. Enrollment reserves a spot in the class, whether they are actually utilized. You may still attend particular future lessons, those we would ask for the drop-in fee for those future lessons.
I purchased the classes before this Cancellation Policy was updated. Will the old or new cancellation policy be used?
Our default will be to use the updated Cancellation Policy. However, upon your request, we will honour the prior terms of the Cancellation Policy.
